Cost to Relocate IT Equipment in London, UK

Cost by Type of IT Equipment (Servers, PCs, Printers, Networking)

Different types of hardware have very different relocation costs:

• Servers / Racks: These are heavy, involve disconnection, secure transport, reconnection, testing. Specialist equipment increases cost. A provider notes they “handle server relocation / data centre removals” as a distinct service.
• Desktop PCs / Laptops: More straightforward: unplug, pack, transport, unpack. Lower cost per unit.
• Printers / Scanners / Photocopiers: Medium complexity: weight, mechanical parts, sometimes calibration required.
• Networking equipment (switches, routers, patch‑panels, cabling): Involves more planning (mapping, reconnection, testing). For example, one guide highlights that IT infrastructure can add £5,000–£10,000 for a medium sized London office move.

In practice: moving ten PCs and three printers might cost one figure; moving a server room with racks and network cabling will cost significantly more.

How Distance Impacts IT Relocation Cost

Where you’re moving from and to matters a lot. In London, traffic, access, parking restrictions and building access all add cost. For example:

• Moving within the same building or same block will cost less than moving across boroughs.
• A move with narrow stairs, no lift, or restricted access will add premium charges. One calculator notes for UK London moves: “Inner / Central London” has higher labour and travel costs.
So when estimating your cost to relocate IT equipment in London, UK, always factor in: distance, access, vehicle size, time of day, and borough congestion.

Packing and Protection Costs for Sensitive Technology

IT equipment often needs extra care: anti‑static packing, secure crates, climate controlled vehicles, insured transit. These protective measures increase cost but are vital to prevent damage or data loss. A specialist service states they offer “safe and secure relocation of IT equipment … protection of all IT hardware during transportation.”
Packing and protection costs may include:

• Custom crates for servers or racks
• Specialist boxes for PCs and monitors
• Disconnection/reconnection labour
• Insurance and transit cover
If you skimp here you risk downtime or damage which can cost more long‑term.

DIY IT Relocation vs Professional Services

You might think, “Can’t we just move the IT kit ourselves?” The answer: yes, but you take on risk. Here’s a comparison:

• DIY: Lower immediate cost. But you may lack specialist packaging, secure transport, insurance, testing post‑move. If something fails you may incur data loss, downtime, equipment damage.
• Professional: Higher upfront cost. But you get trained staff, insured transit, specialist packing, minimal disruption. For sensitive hardware (servers, networking) we strongly recommend going professional.

Hidden Costs in IT Relocation You Should Know

When calculating the cost to relocate IT equipment in London, UK, beware of hidden costs:

• Downtime: If your systems are offline you lose productivity. One article says for some London moves, downtime costs exceed the removal cost.
• Parking / access permits: Vehicles in London often need parking suspensions, permits or have restricted access. These can add hundreds.
• Insurance / transit liability: High value IT hardware needs cover.
• Cable or infrastructure at new site: Networking re‑hookup, patching, new power supplies may be extra.
• Storage: If there’s a gap between leaving old site and entering new, you may need secure storage.
• Disposal of old equipment: If you replace or discard old servers, hard drives, there may be certified disposal charges.
• Access challenges: Upper floors, narrow service lifts, weekend moves will cost extra.
By planning ahead and asking for full breakdowns, you can avoid unwelcome surprises.
